Entity Verification
Entity verification is a standard verification process that will be performed regardless of any additional or optional services selected. Based on the customer rules and the setup, the application will verify and validate basic parties to the transaction or invoice. This will ensure that only valid invoices are processed through the system. This is a task that an accounts payable person will perform to ensure that the invoice is addressed to the customer from a trade partner that they deal with.
Rate Verification
A charge line item rate that is determinable, based on a known basis quantity, is the most basic rate verification. From here on, it can get more complex and intricate. Certuspact's robust rules engine can rate challenging charges or combinations of charges. Certuspact has developed a unique solution to handle rates that are in a different currency than what the invoice states, implying that currency exchange rate verification is also required. Whether or not a line item charge on an invoice can be rated, regardless of complexity, can have an influence on the level of freight bill automation that can be achieved without human intervention. Certuspact's 'rules engine' will also rate multiple bills of lading with different input parameters on the same invoice and calculate the expected rates per bill of lading. Certuspact understands that not all charges in the freight industry are predetermined and has developed unique solutions for these challenges. The rules engine will be set up to accommodate a customer's specific rate requirements per trade partner when it comes to rate verification. The level of rate verification will depend on the customer's requirements.
Third Party Verification
Third party verification is intended for shippers who deal with a predetermined set of consignees. In such instances where a third party is involved in a customer's transaction, this third party can be verified and validated in the transaction. This means that the customer can rely on the quality of data within the reports knowing that the consignee data has been verified.
Third party verification is an optional service.
Transaction Verification
Verifying and capturing data upstream is a recurring theme in the Certuspact freight bill automation process. Customers normally require certain data elements or reference values to travel with the invoice data. This requirement normally assists the customer in referencing the invoice to their internal enterprise resource planning (ERP) system. This service allows a customer to ensure that the specific reference types and values that they receive on the invoice comply with certain requirements they provided. Certuspact allows the trade partner to manage the specific reference types and values online in the application, by exception handling.
Transaction verification is an optional service.
Duplicate Transaction Checking
Research has indicated that in instances of duplicate payments, it is highly likely that there was a request for payment with a copy paper invoice. The result could be that a copy of the invoice as well as the original invoice would be on file. Certuspact's rule engine checks for duplicate invoices, duplicate shipments and duplicate line item charges on invoices processed.
Duplicate transaction checking is part of the standard freight bill automation process.
Document Verification
Certuspact enables a user to attach a document image to an invoice online in the application. Although this feature is standard in the Certuspact freight bill automation process, a customer has an optional service available that allows them to attach specific document types to invoices before an approval or customer review takes place. Users will have access to the document image, rather than printing the document. This will help companies that have green objectives to be responsible by saving money as well as the environment.
General Ledger Allocation
Freight invoice general ledger allocation is normally performed after approval and before payment. Certuspact's rules engine can perform automated general ledger allocations, based on the customer's requirements, using data elements present on the invoice, the moment the invoice is approved.
Payment
The customer will always remain in control of their funds. However, Certuspact can facilitate the disbursements of funds, by the customer, to the trade partner, in two ways. First, Certuspact will provide detailed disbursement requirements, per payment terms, per trade partner. These invoices consist of the customer or system approved invoices. Second, a file can be extracted from the approved invoices by due dates, with detailed remittance requirements and payment methods of the trade partner. This process is currently in place with a renowned bank which can disperse funds to trade partners anywhere in the world, using various payment formats (such as wire transfers, domestic ACH, International ACH, and checks with preferred remittance advises).
Reports
Certuspact has two reporting platforms.The first platform is a self help service of standard reports that a user can access online in the application. The second platform is is an ad hoc report that a customer requires on a scheduled frequency. The ad hoc report can later become part of the standard report for the self help service. All data elements can be reported.
